Cancellation & Refund Policy

At Reno Outdoors, we understand that travel plans can change. We strive to provide flexibility to our guests while ensuring fairness to our guides, drivers, and business operations. Please review our cancellation and refund policy carefully before making a reservation.

 

Standard Tour Cancellations

More than 48 Hours Before Departure

Guests may cancel their reservation more than 48 hours before the scheduled departure time and receive a full refund of the amount paid.

Within 48 Hours of Departure

Cancellations made within 48 hours of the scheduled departure time are non-refundable.

This policy applies because guides, vehicles, staffing, and operating expenses are reserved specifically for your booking.

 

No-Shows

Guests who fail to arrive at the designated pickup location at the scheduled time without prior notice will be considered a no-show.

No-shows are non-refundable.

 

Late Arrivals

Tours and transportation services operate on scheduled departure times.

Guests arriving late may miss part or all of the service. Refunds will not be issued for missed departures resulting from guest delays.

 

Private Tours and Custom Experiences

Private tours, custom itineraries, charter services, airport transfers, and special event transportation may require advance planning and resource allocation.

Unless otherwise stated in writing:

More than 7 days before service: Full refund.
Within 7 days of service: Non-refundable.

Certain customized services may require a non-refundable deposit at the time of booking.

Cancellations within 24 hours of pickup are non-refundable.

 

Changes to Reservations

We will do our best to accommodate changes to reservation dates, pickup locations, or passenger counts.

Changes are subject to availability and may result in additional charges.

We cannot guarantee modifications to confirmed reservations.

 

Weather Policy

Tours operate in most weather conditions.

Weather-related cancellations initiated by Reno Outdoors due to unsafe road conditions, severe storms, government road closures, wildfires, or circumstances beyond our control may result in:

Rescheduling to an alternate date, or

A full refund at Reno Outdoors’ discretion.

Light rain, snow, cold temperatures, heat, or normal weather conditions do not qualify for refunds.

 

Minimum Passenger Requirements

Certain tours may require a minimum number of participants.

If Reno Outdoors cancels a tour because minimum participation requirements are not met, guests will be offered:

An alternative date,
An alternative tour, or
A full refund.

 

Operator Cancellations

If Reno Outdoors is unable to provide a booked service due to vehicle issues, guide availability, safety concerns, or unforeseen operational circumstances, guests will receive:

A full refund, or
The option to reschedule.

 

Refund Processing

Approved refunds are generally processed within 5–10 business days.

Actual processing times may vary depending on your bank, credit card provider, PayPal, or payment processor.

 

Chargebacks

Guests agree to contact Reno Outdoors directly before initiating any payment dispute or chargeback.

We are committed to resolving concerns promptly and professionally.

Fraudulent or abusive chargebacks may be contested with supporting documentation, booking records, communication history, and service records.

 

Force Majeure

Reno Outdoors shall not be liable for cancellations, delays, interruptions, or inability to provide services due to events beyond our reasonable control, including but not limited to:

Severe weather
Wildfires
Road closures
Government restrictions
Natural disasters
Public emergencies
Strikes
Acts of terrorism
Utility failures

In such situations, refunds, credits, or rescheduling options will be determined on a case-by-case basis.

 

By completing a reservation, guests acknowledge and agree to this Cancellation & Refund Policy
